Job Description

Title: Logistics Officer
Contract: Full time/Permanent Post
Department: Education
Responsible to: Programmes and Events Coordinator; Lessons from Auschwitz Project Director; and Chief Executive Officer
Usual Hours: 9.00am - 5.30pm
Salary: £25,000

Overall aim: To ensure high quality logistical delivery of all aspects of the Lessons from Auschwitz Project in the UK and Poland; and to assist in the planning and organisation of other periodic events.

Venue and travel planning
1. Research and hire venues for educational seminars and Student Ambassador events.
2. Research, hire and liaise with external vendors and service providers to ensure smooth delivery of events and visits.
3. Work with the Senior Administrator to organise transportation, food and accommodation for all events.
4. Email updates to staff, Educators and contract staff regarding event-related logistical arrangements.
5. Serve as primary liaison to tour operator for long and short-term planning and ongoing quality control.
6. Supply the insurance provider with names and details of participants to ensure that all have appropriate insurance cover.
7. Plan dates for future LFA Projects.

Event Preparation and Materials
8. Oversee timely production of printed materials.
9. Generate registers, seating charts and other required lists for all events.
10. Produce running orders and staff instructions for events.
11. Order display and event supplies as needed.

On-site logistics
12. Serve as primary logistics coordinator on selected educational seminars and on visits.

Other
13. Respond to phone and email queries from teachers, students and LEA officials regarding health and safety policies on projects, providing information as required.
14. Produce written follow-up reports after each event to document any issues that have arisen.
15. Update the HET contacts database as needed.
16. Annually review and update health and safety policies.
17. Carry out CRB checks for all new LFA staff and Educators.

Person Specification

Qualifications and experience

Essential
- A Bachelor's Degree
- Experience in management of seminars and events and ability to coordinate all forms of transport, site selection, risk assessments, materials and all other resources.

Desirable
- Experience working in the UK educational sector.
- Experience working in the voluntary or charity sector.
- Experience in negotiating, understanding, and amending contracts.

Knowledge and Skills

Essential
- Strong communication skills both orally and in writing.
- Knowledge of Microsoft Windows, Word, Excel, Publisher, Outlook, PowerPoint and the Internet.
- Understanding of how to work with and manage a contacts database.
- Outstanding operation and project management skills.
- Extremely high level of organisational ability, highly focussed, exceptional attention to details, flexibility and able to multi-task.

Desirable
- Familiarity with the UK post-16 educational sector.
- Have an understanding of relevant government policies such as the Health and Safety at Work Act
- Knowledge of the Holocaust and its contemporary relevance.
- Ability to proofread a variety of documents.
- Ability to create professional looking materials, presentations and web content.

Interpersonal Skills

Essential

- Strong inter-personal skills and the ability to build and sustain strong relationships with a variety of suppliers.
- Self-reliant with an ability to take responsibility for an area of work and display initiative in solving problems.
- Able to work under pressure and to tight deadlines.
- Flexible to, on occasions, work outside normal working hours.
